Event Planning for Small Businesses
Great events don't need enormous guest lists or enormous budgets. They need a good idea, the right people and someone making sure all the pieces come together.
We work with small businesses, producers and organisations across Auckland to plan events that feel considered, engaging and genuinely connected to the people they're for.
From product launches and customer events to tastings, celebrations, workshops and smaller corporate gatherings, we can take care of the planning, suppliers and logistics — or simply step in where you need an extra pair of experienced hands.
Event support that fits your business
Not every business needs a full-service event agency.
You might have the idea and know exactly what you want to achieve, but need someone to find the venue and suppliers. You might have most of the event organised but need someone to pull everything together. Or you might want to hand us the brief and have us take care of it.
We can help with:
- Event planning and coordination
- Venue research and sourcing
- Supplier sourcing and management
- Event timelines and run sheets
- Guest and attendee experience
- Styling and event set-up
- Speakers, exhibitors and stakeholders
- Event-day coordination
- Logistics and those easily overlooked practical details
Our support can be shaped around the event, your team and the resources you already have.
Small events can still make a big impression
A smaller event gives you the opportunity to be more deliberate about the experience you're creating.
It might be introducing a new product to twenty carefully chosen guests rather than filling a ballroom. Bringing customers together around a table. Hosting a tasting that lets people properly experience what you make. Or creating an event for your team that actually feels like it was designed for them.
We think about how people arrive, how they move through the event, what they see and experience, when things happen and how all the individual elements work together.
Because the best events don't just run smoothly.
They make sense.
Built around what you're trying to achieve
Before we start talking about venues, catering or table settings, we want to understand why you're holding the event in the first place.
Are you launching something?
Bringing customers closer to your brand?
Celebrating a milestone?
Creating an experience around a product?
Educating, entertaining or thanking the people who support your business?
Once we understand what success looks like, we can build the event around it.
That might mean finding an unexpected venue, working with local food and beverage producers, creating a relaxed workshop environment or simply making sure the practical details don't get in the way of a really good idea.
Working with great local businesses
We're a small business too, so wherever practical, we like working with other independent and local businesses.
That might mean a local caterer rather than a large hospitality group, an independent photographer, a neighbourhood venue, a small producer or a specialist supplier who is particularly good at what they do.
We'll always recommend suppliers based on what's right for the event, your budget and what you're trying to achieve — but when a great local business can do the job, we'd much rather keep the work local.
Experienced support behind the scenes
Sunflower Events was founded by Sarah Ware, bringing experience across events, sponsorships, exhibitors, speakers, stakeholder management and complex event logistics.
That experience means we're just as comfortable thinking about the practical side of an event as the creative one.
Timings. Deliveries. Venue access. Suppliers. Guest communications. Equipment. Set-up. Pack-down. Who needs to be where, when — and what happens when something inevitably doesn't go exactly to plan.
We'll worry about those things.
You can concentrate on your customers, guests and business.
What kind of events can we help with?
We can help plan and coordinate events including:
Product launches
Bring a new product, range or idea to life with an event designed around how you want people to experience it.
Workshops and hosted experiences
From finding the right space through to suppliers, equipment, attendee flow and event-day logistics.
Tastings and producer events
Food, wine and product experiences where the environment, timing and guest journey are as important as what's being showcased.
Business celebrations
Milestones, anniversaries, openings and the moments worth getting people together for.
Customer and community events
Create a reason for the people around your business to get together, connect and experience your brand in person.
Smaller corporate events
Thoughtful team gatherings, stakeholder events and business functions without the machinery of a large event agency.
Have something in mind?
You don't need a finished event plan before you talk to us.
Bring us the idea, the problem you're trying to solve, the event you've already started organising — or even just the slightly chaotic collection of thoughts currently living in your head.
We'll help you work out what comes next.
